Protection of personal data
The Partners in the ‘Belga Solar’ project are committed to protecting your personal data. In order to comply with this commitment, ‘Belga Solar’ acts in accordance with the laws in force in Belgium on data protection during the collection and processing of your data in relation to its Internet portal. They are protected in accordance with the European General Data Protection Regulation 2016/679, abbreviated as GDPR. In order to comply with this new regulation, our ‘Privacy and data protection’ statement has been updated.
"Belga Solar" as data controller
As data controller, ‘Belga Solar’ is subject to the GDPR. "Belga Solar is involved in defining the purposes and means of processing personal data, setting retention periods and exercising control over access to personal data.
Purpose of processing
It is agreed between ‘Belga Solar’ and its client that ‘Belga Solar’ advises and supports companies in their projects and certifications. The processing of the personal data of the client and of the recipients is therefore necessary for the execution of the contract with the client. "Belga Solar collects, processes and uses personal data only to the extent necessary to conclude, maintain and terminate a contractual relationship entered into for the purpose of providing services. With a view to operating and providing access to the Internet portals, ‘Belga Solar’ also collects, processes and uses the client's personal data in order to establish and manage the user/service provider relationship and to enable use of the services. Belga Solar also collects, processes and uses personal data for internal purposes, in particular to improve the service and for direct marketing purposes. In this respect, ‘Belga Solar’ always takes into account the interests and fundamental rights of the persons concerned.
Personal data
According to the RGPD, personal data means any information relating to an identified or identifiable natural person. "Belga Solar processes the personal data of its customers. This personal data is provided by the client. "Belga Solar processes the following personal data of its customers: name, address, place of residence, e-mail address, telephone number and job title. Belga Solar also processes additional personal data during assignments, subject to agreement between the parties. "Belga Solar also processes personal data that fall within the special categories referred to in the RGPD. This data is adequately protected (encrypted) and is the subject of special attention.
Conservation and protection
"Belga Solar stores the data on extremely secure servers within Belga Solar and at any third parties with whom a processing contract has been concluded. Access to these servers is reserved for a very limited number of specially authorised persons, responsible for the technical or editorial maintenance of the servers. A confidentiality contract has also been concluded with each employee within ‘Belga Solar’ and with any third parties such as subcontractors or IT managers, in order to guarantee the protection of personal data. Your data is carefully protected against loss, destruction, falsification, manipulation and unauthorised access or unlawful publication. Communication with Internet portals is also protected by special security measures in the form of encrypted data transfer. Taking into account the state of the art, the costs of execution and the purposes of the processing as well as the probability and seriousness of a breach, ‘Belga Solar’ always takes adequate technical and organisational measures to guarantee a level of protection that corresponds to the risk.
Shelf life
"Belga Solar retains the personal data required to provide the service for 7 years after the end of the contractual relationship, unless a longer retention period is required on the basis of a legal obligation or for special liability reasons (e.g. in the event of (possible) litigation). In addition, personal data is removed from the processing process by deleting or anonymising it.
Communication of personal data
"Belga Solar will never provide customer data to third parties (who are not part of Belga Solar) without first informing the persons concerned. An exception is made in the case of subcontractors that ‘Belga Solar’ calls upon on the basis of a subcontracting agreement or in the event of a legal obligation, for example at the request of the police. The personal data provided will be used exclusively for the stated purposes. In order to perform the services, ‘Belga Solar’ therefore provides personal data to partners within ‘Belga Solar’, or to other subcontractors. The processing of personal data takes place within the European Economic Area, unless the service must be performed outside this Area at the request of the sender. In such a case, the transfer of personal data to the country of destination takes place at the client's request and this transfer is necessary for the performance of the contract with the client. If ‘Belga Solar’ also uses a subcontractor, e.g. a service centre, outside the ‘Belga Solar’ area and in strict compliance with the rules of the GDPR, namely by using a standard contract for the transfer of personal data to subcontractors established in third countries, as approved by the European Commission. At present, ‘Belga Solar’ has not signed such a standard contract.
Direct marketing
"Belga Solar will send its customers news and information about Belga Solar products. This personal data, including the e-mail address, will be used for advertising and marketing purposes. This consent (opt-in) can always be revoked (opt-out), in particular by contacting : welcome@belgasolar.com
Access to personal data
Would you like to have access to your personal data? You can contact us by e-mail. As we want to ensure that we are sending personal data to the right person, we ask you to send us a copy of a valid passport, driving licence or identity document with a crossed-out passport photo. Please mention that it is a copy, date the document and cross out the national register number, or send only a copy of the front of the identity card (without the national register number). Naturally, you cannot request another person's personal data. If you have any further questions or complaints about privacy and data protection, you can send a letter or e-mail to the above addresses.
Rectification, deletion, restriction or transfer of data and opposition
Similarly, if personal data is inaccurate, if you would like personal data to be deleted, if you would like the processing of personal data to be restricted, if you would like data to be transferred or if you have any reservations, you can send your request to the above addresses, provided that it is not possible for you to manage the data yourself. We will always try to respond to your request as quickly as possible.

Amendment to the Privacy and Data Protection Statement
The rapid technological development of the Internet and the ensuing legal requirements mean that this Privacy and Data Protection Statement must be regularly updated to take account of new technical and legal requirements. We will keep you informed of new developments. We recommend that you consult this Declaration from time to time in order to remain informed of any changes. In this respect, ‘Belga Solar’ reserves the right to adapt its policy at any time. In such a case, you will be asked, when you log on, to accept the new version of this Declaration in advance, which, at that time, will also be available for consultation on the ‘Belga Solar’ website.
